Linen Rental, in practice

Rent the linen, not the problem

Buying linen means capital tied up in cotton, a replacement budget nobody enjoys approving, a store room, and somebody responsible for counting it all. Renting replaces all of that with a fixed rate per piece delivered. We own the stock, we launder it, we monitor its condition and we replace it when it wears out. You pay for what you use.

For a seasonal property on this coast the arithmetic is usually decisive. Occupancy between June and September can be three times what it is in April; owned stock has to be sized for the peak and then sits in a cupboard for eight months. Rented stock flexes with the season.

What we rent

Bed linen in the standard Italian sizes — flat and fitted sheets, duvet covers, pillowcases, protectors — in percale and satin cotton or polycotton, in the weights the hospitality market actually uses. Bathroom terry from 400 to 600 gsm: towels in four sizes, bath mats, bathrobes and slippers. Table linen: cloths, napkins, runners and overlays in cotton and easy-care blends, in white and in colour. Kitchen textiles: aprons, cloths, chef whites.

Everything is stocked in depth, so a replacement is a phone call rather than a purchase order with a lead time.

How the service works

We start with a survey: how many rooms or covers, what the current stock looks like, how much of it is still usable, and what your peak week actually demands. From that we set par levels — the circulating quantity that keeps the property running. For hotels the working rule is three par: one set in use, one in the cupboard, one in the wash. Two par leaves no margin; four ties up money.

After that it is a fixed weekly rhythm. Soiled linen goes out on the agreed day, clean linen comes back counted and wrapped on the next delivery, and the invoice reflects the pieces delivered. Damaged and worn items are pulled by us and replaced by us — a rental agreement without free replacement is not rental, it is hire.

Rent, buy, or both

Rental wins when volumes swing with the season, when you are opening and would rather put capital into the rooms, or when linen turnover is high enough that replacement is a recurring line anyway. Owning wins when textiles are part of the brand: bespoke colours, embroidered logos, an unusual weight or weave.

Plenty of our clients do both — rented flat linen and terry, owned signature items that we launder under a standard industrial laundry contract. There is no rule that says you must choose one model for everything.

What it costs and what it saves

Rental is quoted per piece delivered, so the cost scales exactly with occupancy. Against it, subtract what you currently spend on purchase, replacement, storage, stock-taking and the staff hours spent managing all three. For most properties in the 40–120 room range, the visible saving is not the rate — it is the disappearance of the replacement budget and the write-offs at the end of the season.

Is renting linen cheaper than buying it?

Is replacement included in the rental rate?

Yes. We monitor condition, pull items that are wearing out and replace them as part of the service. A rental agreement without free replacement is not rental — it is hire, and it costs you twice.

Some loss is normal and is priced into the contract. Persistent shortfall gets flagged in the monthly report with the numbers, before it becomes an invoice argument — usually it turns out to be linen sitting in a store room rather than linen genuinely gone.
